What looks harmless at the front desk suddenly matters a great deal during an audit or an evacuation.
Nobody knows who is inside
During an evacuation, a book full of crossed-out lines is not a roll call. You need an accurate list of everyone still on site, in seconds. In Belgium, the Netherlands, Germany and France, that is a legal duty, not just good practice: employers must be able to account for everyone on site — staff and visitors alike — during an evacuation.

Kiosk check-in
Visitors sign themselves in on a tablet or touchscreen at the entrance. Each device has its own screen ID, its own branding and its own behaviour.
Configurable sign-in flow
Compose the pages a visitor walks through, per location: text blocks with house rules, images or video, and a closing consent page.
Digital consent
Safety instructions, NDAs or house rules are accepted at the kiosk and stored with a timestamp on the visit record — together with the exact text the visitor was shown. Change your house rules later and it stays provable what was accepted on the day.
Fast registration for regulars
Suppliers and contractors who visit weekly should not retype the full form every time. Returning visitors can be promoted automatically after a configurable number of visits.
Pre-registration with QR code
Invite a visitor in advance. They complete their details at home and receive a QR code by email that gets them in with a single scan at the kiosk.
Sign-out and automatic checkout
Visitors sign out at the kiosk. Anyone who forgets is checked out automatically at a time you set, so your presence list stays accurate.
Barcode and QR scanner
Work with badges, existing visitor passes or pre-registration codes. The kiosk reads them and starts the right flow. Scanning works with the tablet camera, or with an external barcode scanner you connect for faster and more reliable scans.
Visitor badge printing
Print a badge automatically at check-in. You design the layout yourself: logo, name, company, contact and time, positioned to the millimetre. Works through the browser with an ordinary label printer or directly with Zebra printers (ZPL), in sizes from 50×30 to 100×150 mm and on Dymo labels.
An AI receptionist that invents nothing
The assistant answers only from your own instructions. When it does not know something it says so in the visitor’s language, offers to place a call, and emails the question to your reception — who complete the instructions through one secure link. Prefer not to use it? Then it stays off.
Custom fields you name yourself
Licence plate, order number, contractor badge: you decide which fields a visitor fills in, mandatory or not, down to a single kiosk. The answers flow straight into your reports and exports.
Reporting, your way
Filter by date, site and device, choose which columns you see and save that arrangement as a view your colleagues can pick too. Export to CSV, print, or have reports emailed on a schedule.

Notify the employee
As soon as a visitor signs in, the right contact is reached — by email, a Teams message or a call from the kiosk. Email works from day one and asks nothing of your IT. Calling works as soon as you know who should ring: any contact with a Teams account can be called, even without letting us into your Microsoft environment.
Microsoft Entra sync
Your employee list comes from your own Microsoft 365 directory. Pick a security group and Prezentix keeps the contacts up to date automatically, including when someone leaves. This needs your administrator's one-off consent; without it you manage the list yourself.
A personal code: clock in and out
Staff clock in with their own code at the kiosk — no name to type, no list to search. The second scan is automatically the clock-out; anyone who forgets is closed off at a time you set. Clock records stay entirely separate from the visitor list, the CSV and the reports, and any later correction stays visible with who made it, when and why.

Who is on site right now
One click gives you everyone currently on site — staff and visitors together. During an evacuation that list becomes the roll: anyone added or checked off earlier stays visible, even if the ordinary presence list would meanwhile change.
Zones, checked off together, in seconds
Split the building into zones and let each fire warden check off their own list from their phone: big buttons, no login, one tap and it is saved. Add someone by hand who is not in the system, call the host with one tap, and choose "drill" or "real evacuation" yourself. No network? The printable list keeps working at every stage.
Report kept, names not forever
Every evacuation or fire drill closes with a stored report and timeline — the proof you need for an inspection. Once your retention period passes, Prezentix automatically removes the names from old reports; that the drill happened stays provable.

Retention and anonymisation
Decide after how many days visit records are deleted or anonymised. A daily job applies it automatically and logs what happened.
Branding per site
Logo, colours, fonts and text sizes down to a single kiosk. Start from a ready-made style set or import your own house style and save it as a template. A preview follows along as you edit, and can be detached into its own window at true screen size.
Roles and per-site access
Two complete roles and nine building blocks: finance, site management, reception, evacuation, branding, technical, reporting, read-only and privacy. Every assignment applies to the sites you designate, and that is enforced in the database — not by hiding a button.
Twenty-one languages, right-to-left included

Webhooks to your own system
Prezentix notifies your own system of every sign-in and sign-out, with a signature that is recalculated on every attempt. You choose which events you receive, and failed deliveries are listed clearly per endpoint.
Open a door or barrier after check-in
A small bridge on your kiosk PC opens a door or barrier the moment someone genuinely checks in — the server only passes a port number, never an address, and a reloaded page never opens it again. A staff clock-in can never trigger a door by design: Prezentix is not an access control system, but it can trigger one.

We prepare your environment
You get your own isolated environment on your own subdomain. Your visitor data sits in a separate database schema, apart from every other customer.

You choose how you work with Microsoft
If you use Microsoft 365, you sign in with your existing account. If you would rather not, or your IT department will not allow it, you use an email code instead. What each model gives you is set out below.

Three ways to start
Prezentix adapts to your IT, not the other way round
The kiosk, the reports and the retention rules work identically in all three models. What differs is where your employee list comes from and how your administrators sign in.
Without Microsoft 365
You have no Microsoft environment, or you would rather not let us into it. Your administrators sign in with a six-digit code by email and you enter or import your contacts yourself.
Sign in with Microsoft
Your administrators use their existing work account, with your own MFA and conditional access policies. Your IT administrator does not have to approve anything: every user consents for themselves.
With your administrator’s consent
One approval in Entra ID and your employee list keeps itself up to date: joiners appear on their own, leavers disappear. You pick contacts from the directory instead of entering them, and the arrival notice can go through Teams.

You can move up to a higher model at any time. Your visitor history, settings, branding and screens stay exactly as they are — you connect Microsoft 365 later from the admin portal. There is no obligation the other way: start without it and nothing is committed. Calling asks the same in every model: the person being called is a Teams user, and their Teams administrator allows our calling environment once.

Microsoft Entra sign-in
Administrators sign in with their corporate account, including your own MFA and conditional access policies. No extra passwords to manage. If you do not use Microsoft, sign-in uses a one-time code by email — and we still store no password.
Retention on your terms
Automatic deletion or anonymisation after a period you set, applied by a daily job that logs what it did.
Demonstrable consent

Ready for the AI Act
The optional AI reception assistant is a limited-risk AI system under Regulation (EU) 2024/1689. Visitors read on screen that they are talking to AI. Do not want the feature? It stays off, and no AI is involved at all.
No facial or emotion recognition
Prezentix does not recognise faces and does not measure emotions. Nor does the kiosk decide who may enter: that stays a human judgement.

What hardware do I need?
Any tablet, touchscreen or PC with a modern browser will do. There is no app to install and no software on your network. If you want to scan badges or QR codes, the device camera handles it; you can also connect an external barcode scanner, which scans faster. For visitor badges an ordinary label printer is enough; Zebra printers are driven directly. We are happy to advise on a tablet, wall mount, scanner and printer.
Does Prezentix work without Microsoft 365?
Yes. Your administrators then sign in with a six-digit code by email instead of a Microsoft account, and you enter or import your contacts yourself. The kiosk, the reports, the evacuation list and the retention rules work exactly the same. What you miss is the self-maintaining employee list; you enter your contacts yourself. Calling still works, as long as the person being called has a Teams account. Decide on Microsoft 365 later and you can connect it without losing anything.
How many languages does the kiosk support?
Twenty-one, from Dutch and French to Polish, Romanian, Turkish, Arabic and Chinese. Visitors pick their own on screen; you set the default per customer, site or device. Arabic and Hebrew run right to left, with the entire layout following. Your own texts — house rules and consents — are written per language, with a release status so a half-translated text never reaches a visitor.
How long does onboarding take?
A basic setup is usually live within one working day. The time goes into your own decisions — which house rules, which consent texts, who the contacts are — not into the technology.
What happens to my data if I leave?
You request a full CSV export and we then delete your environment including its database schema. You own your visitor data at all times.
Can I test Prezentix with real visitors first?
That is exactly what the 30-day trial is for. You get a complete environment with every feature, on one screen. If you want to test with several screens straight away, let us know — we arrange that on request. If it does not work for you, do nothing and it ends automatically.
What does an extra screen or site cost?
That depends on your plan. Professional includes 1 screen, Business includes 3. Every screen beyond that costs €35 per month, whether you put it at the same site or another one. A Professional customer with two entrances therefore pays the base subscription plus €35; on Business that same second entrance is simply part of the price. Sites are always free — you pay per screen, never per building. That amount stays the same however many screens you have: there are no thresholds and no tiers. From 10 extra screens we are happy to prepare a tailored proposal.
What happens when I add or remove a screen?
You add a screen or stop it yourself in the admin portal. A screen added during a running period is charged pro rata up to your renewal date, so all your annual screens expire together. The price of your other screens does not change: every extra screen costs the same amount however many you have. If you remove a screen, it runs until the end of the period you paid for.
Does Prezentix use AI, and what does that mean for us?
There is one AI feature: the optional reception assistant that guides a visitor through sign-in by voice. Leave it off and no AI is involved. Switch it on and we are the provider of that AI system while you are the deployer. Because it is a limited-risk system — no facial recognition, no emotion recognition, no decisions about people — your own homework stays small: your staff know what the assistant does, and the visitor is informed automatically on screen. What if we adopt Microsoft 365 later?
You connect it yourself from the admin portal. Your visitor history, settings, branding, screens and subscriptions stay unchanged; your users are matched to your directory on their email address. Two things worth knowing: the connection is permanent — an environment can belong to only one Microsoft tenant, and we put it right if the wrong one gets connected. And contacts you entered by hand stay manual until you pick them from the directory again.
Can our people have different permissions?
Yes. Alongside two complete roles there are nine building blocks you combine freely: finance, site management, reception, evacuation, branding, technical, reporting, read-only and privacy. Every assignment applies to the sites you designate — a site manager in Antwerp does not see Ghent. That is enforced in the database rather than by hiding a button, so it holds even if someone types the address directly.
Can we connect Prezentix to our own systems?
Yes, through our public API. Use it to query visitors, create pre-registrations and manage contacts. You generate API keys yourself in the admin portal, where the documentation and a test console also live. The specification is an ordinary OpenAPI file you can load into your own tooling.
